Microsoft 365 Productivity and Copilot Training

A one-day programme for organisations paying for Microsoft 365 and using a fraction of it. Most workplaces run on email, a shared drive and a chat tool, then buy the same capabilities again in the licence they already hold. The waste is real but the fix is not more features: it is agreeing where documents live, how work gets tracked, what gets automated and what each tool is for.

The day is hands-on and works through a set of everyday scenarios rather than a tour of applications. It also covers Microsoft 365 Copilot properly, including where it saves genuine time, where its output needs checking, and the data handling boundaries staff need to understand before an AI assistant is given access to the organisation's files and mailboxes.

Where a document should live and why it matters: personal drafts in OneDrive, shared work in SharePoint and Teams. Co-authoring instead of emailing versions, sharing links with the right permission scope, version history and recovery, and finding a file you cannot remember the name of. Cleaning up the folder structure that grew rather than being designed.

Teams and channels structured around work rather than around the org chart. Channel conversations versus chat, and why the choice determines whether anyone can find the decision later. The notification settings that make the tool usable, and the etiquette that makes it bearable.

Microsoft Forms for surveys, requests and simple approvals, and getting the responses into a workable format. Lists for structured tracking that a spreadsheet was doing badly. An introduction to Power Automate through a small number of high-value flows built live: routing an approval, filing an attachment, sending a reminder, and notifying a channel when something changes. Recognising which manual routines are worth automating and which are not.

What Copilot does in each application: drafting and rewriting in Word, summarising a long thread and drafting replies in Outlook, catching up on a missed meeting in Teams, analysing and explaining data in Excel, and building a first-draft deck in PowerPoint. How it grounds answers in your own organisational content, and what that means for the quality of the output. Prompting that produces something usable: context, audience, format and constraints. Hands-on throughout.

What Copilot can see, which is everything the user can already access, and why oversharing inside SharePoint becomes visible the moment an AI assistant is deployed. Verifying output before it is used, and the categories of task where a confident wrong answer is expensive. Personal data and PDPA considerations, confidential and client-restricted material, and the organisation's acceptable use position. Where this connects to broader AI governance work.
