Access Fundamentals
A one-day programme for teams managing structured data in a spreadsheet that has outgrown it: duplicated entries, broken lookups across tabs, and no real way to enforce that a field is filled in correctly. Access exists for exactly that gap, where data has real structure and relationships but the organisation does not yet need a full database server.
The day builds a small working database from scratch: tables with proper relationships, queries that answer real questions, a form for safe data entry, and a report ready to distribute. The closing module is a frank conversation about limits: Access is a single-file, limited-concurrency tool, and the programme covers the signs that it is time to move to Dataverse or SQL Server instead of pushing Access past what it was built for.

Programme Agenda
9:00 AM - 9:15 AM
Welcome and Programme Overview
Introduction to the session, objectives, and housekeeping.
9:15 AM - 10:15 AM
Tables and Relationships
Why structured data needs more than one flat table, primary and foreign keys, and building relationships that actually enforce data integrity.
10:15 AM - 10:30 AM
Break
10:30 AM - 11:30 AM
Designing for Clean Data Entry
Field types, validation rules, lookup fields, and the data-entry mistakes a well-designed table prevents before they happen.
11:30 AM - 12:30 PM
Building Queries
Select queries to answer real business questions, filtering and sorting, and basic calculated fields.
12:30 PM - 1:30 PM
Lunch
1:30 PM - 2:15 PM
Forms for Safe Data Entry
Building a form that guides entry correctly, rather than letting staff edit a raw table directly.
2:15 PM - 3:15 PM
Reports for Distribution
Building a report that groups, sorts and summarises data, ready to print or share.
3:15 PM - 3:30 PM
Break
3:30 PM - 4:15 PM
Knowing When to Graduate Off Access
Multi-user concurrency limits, file size and performance ceilings, and the signs that Dataverse or SQL Server is now the right tool.
4:15 PM - 4:45 PM
Applied Practice
Participants design tables and a relationship structure for a real dataset from their own work, then build one query and one form against it.
4:45 PM - 5:00 PM
Wrap-Up and Q&A
Key takeaways, next steps, and close.
Key Outcomes
- Design tables and relationships that enforce real data integrity
- Build validation and lookup fields that prevent entry mistakes
- Write queries that answer real business questions from the data
- Build a form that guides safe, correct data entry
- Build a report that groups, sorts and summarises data for distribution
- Recognise when a database has outgrown Access and what to move to next
